The problem it solves
Every pay run is preceded by the same chase: contractors who have not submitted hours, client managers who have not approved them, a nurse whose license expires next week, a start that is blocked because a background check has stalled. The coordinator does this from a spreadsheet and memory, and the cost shows up as late invoices, delayed starts, and a person who cannot take a day off.
What the agent does
- Monitors deadlines and expiries across your timesheet system, onboarding and credentialing tools, and the ATS
- Runs reminder sequences to contractors and client approvers on email and SMS, escalating tone and channel on a schedule you set
- Escalates by rule to the coordinator or account manager when a sequence runs out, with the full history in one message
- Produces a daily exceptions list: what is outstanding, who was chased, what is now blocking a pay run or a start
- Logs everything back to the ATS or your system of record, so an auditor or a client can see the trail

- The agent never approves hours, changes a rate, or marks a credential valid; it asks the human who can
- Personal data stays in your systems; the agent holds only what it needs to run the sequence

- Payback analysis first. The scoping question we start with: how many contractor-weeks a month currently miss the first submission deadline, and what a delayed start costs you. Those numbers tell both of us whether the build is worth your money.
- A parallel run before anyone relies on it, shadowing the coordinator against a live pay cycle.
What it is not
- Not a timesheet system, a VMS, or a payroll provider. It sits beside those and reads from them.
- Not a replacement for the coordinator. It removes the repetitive chase and hands over judgment calls.
